Navigate the Risks: In-House AI Automation vs. Expert Outsourcing

Building AI automation in-house for small and mid-size businesses carries significant risks, including high upfront costs, prolonged development cycles, and the need for specialized, scarce talent. In contrast, outsourcing AI automation can offer faster project initiation, access to expert teams, and predictable costs without the overhead of maintaining an internal AI division. Many SMBs initially consider developing AI solutions internally, believing it will save money or provide greater control. However, this often leads to unforeseen challenges, diverting valuable resources from core business operations. Syntora specializes in providing tailored AI automation services, helping businesses overcome these hurdles and adopt advanced technology effectively. We enable organizations to integrate custom AI agents and workflow automation designed to deliver measurable returns.

Syntora addresses the risks of in-house AI automation by offering engineering engagements that adapt proven multi-agent platform architectures to specific business needs. This approach provides clients with custom AI agents and workflow automation without the overhead of building an internal AI division.

The Problem

What Problem Does This Solve?

The allure of building AI automation in-house is understandable; it promises complete control and potentially lower long-term costs. Yet, for small and mid-size businesses, this path is fraught with hidden complexities. Finding and retaining a team of AI engineers proficient in Python, machine learning, and API integrations is expensive and highly competitive. Even after assembling a team, the development process itself can be lengthy, with projects often taking six months or more to reach a functional stage. This delay means lost opportunities and extended time-to-value. Furthermore, maintaining and updating these systems requires ongoing investment in infrastructure and specialized support, which quickly adds to overheads. While DIY platforms like Zapier or Make offer simplicity, they often lack the depth for truly custom workflow automation or integrating advanced AI agents. They provide templated solutions, falling short when unique business logic or complex data handling is required. The alternative, enterprise-grade tools, are over-engineered and cost-prohibitive for most SMBs, demanding extensive training and infrastructure that isn't practical. This leaves many businesses in a difficult position, struggling to scale their operations with efficient AI.

Our Approach

How Would Syntora Approach This?

Syntora addresses these challenges by offering engineering engagements focused on custom AI automation. We approach each project by understanding specific business needs, then designing and building systems tailored to those requirements.

For our own operations, Syntora built a multi-agent platform using FastAPI and Claude tool_use. This internal platform, orchestrated by Oden, uses Gemini Flash function-calling to route tasks to specialized agents. These agents handle document processing, data analysis, and workflow automation, including human-in-the-loop escalation. It is deployed on DigitalOcean App Platform with SSE streaming for real-time interaction.

For client engagements, Syntora would adapt this proven architecture pattern to your specific operational needs. The first step involves a discovery phase to map existing systems, data flows, and identify precise automation bottlenecks. Based on this understanding, an architecture would be designed. This would typically involve a Python-based core, potentially using FastAPI for agent interfaces as seen in our own platform. Integration with large language models via the Claude API would be included for advanced natural language understanding and task execution. Data management might utilize scalable databases such as Supabase, chosen based on your project's data volume and access patterns. For orchestrating complex processes, a custom orchestrator or tools like n8n could connect disparate systems and automate workflows.

The delivered system would include custom AI agents designed to perform defined tasks, helping reduce the need for an internal AI team. Syntora handles the full engagement lifecycle: from initial design and development to deployment and ongoing support, allowing your team to concentrate on core business growth. Syntora provides a clear, cost-effective path to adopting AI. Book a discovery call today at cal.com/syntora/discover to explore how custom AI automation can support your business.
