Build a System to Track Your Brand in AI Chat Responses

To monitor your brand in ChatGPT and Claude, you must programmatically query their APIs with relevant prompts. An automated system then parses the text responses to detect and log any brand mentions.

Key Takeaways

  • To monitor your brand in LLMs, you need an automated system that queries APIs and parses responses.
  • Manual spot-checking is unreliable and misses the vast majority of brand mentions.
  • A custom Python script can check hundreds of prompts against multiple models like ChatGPT and Claude daily.
  • Syntora's own content pipeline performs over 8 validation checks per page, including data accuracy verification.

Syntora built an automated AEO pipeline that monitors brand and content accuracy in LLM responses. The system runs over 8 distinct quality checks on every piece of content, using the Gemini Pro and Claude APIs for validation. This validation stage ensures content accuracy and tracks brand presence across 75-200 generated pages daily.

We built this exact capability as a core part of our own automated AEO pipeline, which runs checks 24/7 to validate content. The complexity for your use case depends on the volume of prompts you need to check and the number of models you want to monitor.

The Problem

Why Can't Marketing Teams Reliably Track Brand Mentions in AI Chat?

Most teams start by manually asking ChatGPT or Claude questions where they hope their brand appears. This approach is anecdotal, not scalable, and provides zero trend data. Next, they look at brand monitoring tools like Brand24 or Mention. These platforms are excellent for social media and news sites, but they have no access to the output of large language models. They scrape the public web, not the closed, session-based responses from AI chat.

Consider a marketing lead at a SaaS company. They ask ChatGPT 'what is the best software for X?' once a week. One week, their brand is mentioned; the next, it's gone. They have no idea why it changed, how often it appears for 50 similar queries, or if it ever shows up in Claude's responses. They cannot build a content strategy around data they cannot reliably collect or analyze over time.

The structural problem is that LLM responses are not static, public web pages. They are generated on-demand and are not indexed by search engines or monitoring crawlers. There is no central feed to subscribe to or an RSS to monitor. The only way to know what an LLM says about you is to ask it directly, at scale, and log the results. Off-the-shelf tools are architected for a world of stable URLs, not ephemeral, AI-generated content.

Our Approach

How Syntora Builds an Automated LLM Brand Monitoring System

We built our monitoring system as a component of our AEO pipeline's validation stage. For a client project, the first step is to define the 'prompt matrix': the set of key questions, topics, and keywords that define your brand's relevance. We would work with you to identify 50-100 core prompts that a potential customer might ask an AI assistant.

The system we built uses a Python script scheduled with GitHub Actions to run daily. The script iterates through the prompt matrix, sending each one to the Claude and OpenAI APIs using the `httpx` library for efficient, parallel API calls. Responses are parsed to check for brand name variations, product names, and competitor mentions. All results, including the full response text and a boolean `mention_detected` flag, are stored in a Supabase database with a timestamp.

The delivered system is a lightweight, serverless function running on AWS Lambda. You receive a simple dashboard showing mention frequency over time, which models are mentioning you, and in what context. You also get the full Python source code and a runbook explaining how to add new prompts or connect other model APIs, like Gemini Pro. Alerts can be configured to send a Slack notification whenever a new mention is detected.

Why It Matters

Key Benefits

01

One Engineer From Call to Code

The person on the discovery call is the person who builds the system. No handoffs, no project managers, no telephone game between you and the developer.

02

You Own the System and All Code

Full source code in your GitHub repo with a maintenance runbook. You have full control to add more prompts, connect new models, or change the logic.

03

Scoped in Days, Built in Weeks

A core monitoring system for 2 models and up to 100 prompts is typically a 2-week build. The timeline depends on the complexity of the parsing logic and alerting requirements.

04

Flat Support After Launch

Optional monthly maintenance covers monitoring, API changes, and bug fixes. No surprise bills. Cancel anytime.

05

Built for Your AEO Strategy

The system provides actionable data for your marketing strategy. You see exactly which prompts generate mentions, informing future content creation and optimization.

How We Deliver

The Process

01

Discovery Call

A 30-minute call to understand your brand, key topics, and monitoring goals. You receive a written scope document within 48 hours outlining the prompt matrix, technical architecture, timeline, and fixed price.

02

Architecture and Prompt Definition

We finalize the list of 50-100 core prompts and the target LLM APIs (OpenAI, Anthropic, Google). You approve the technical approach and the data schema for storing results before the build starts.

03

Build and Validation

Syntora builds the core API querying engine and parsing logic. You get access to the data in Supabase as it's collected, allowing for feedback on the results during the build. Check-ins ensure the system is capturing the right context.

04

Handoff and Support

You receive the full Python source code in your GitHub, a runbook for maintenance, and a dashboard for viewing trends. Syntora monitors the system for 4 weeks post-launch. Optional flat monthly support is available.
